Standing Policy on Hosts of National Conference 

Obligations       

  • Must submit a letter of approval from their governing student body to the NAGPS Executive Committee at least 9 months prior to scheduled conference date.
  • Must help to secure some funding for the conference from local/campus resources. In the past most schools have donated $1000 or more from their own GSA budgets or other campus offices. It is the responsibility of the host GSA to lead local fundraising efforts.
  • Provide a local conference chair and volunteers to coordinate planning the conference with the appropriate NAGPS board member(s). 
  • In accordance with the NAGPS Bylaws,

o   Each region shall host the National Conference at least once every ten years.

o   No region shall host the National Conference in consecutive years.

  • With the explicit recognition that the Annual National Conference is not primarily a fundraising event, it will be agreed that the comprehensive budget (accounting for all money raised and all expenses) be maintained by the NAGPS Treasurer with the assistance of a designee at the host site. Furthermore, NAGPS shall be responsible for determining all fees for the conference.
  • Conference must correspond with all NAGPS guidelines and spending policies.

 Benefits

  • In consultation with the NAGPS Board of Directors, the host school will be granted a specific number of free registrations for those who have been essential in orchestrating the conference at the local level.
  • Two complimentary registrations to the subsequent National Conference.
  • Two complimentary registrations to the subsequent Regional Conference.
  • Complimentary Legacy Membership Status for the year following the conference.
  • Special recognition of host graduate student organization at national level.
  • With the explicit recognition that the Annual National Conference is not primarily a fundraising event, it will be agreed that the comprehensive budget (accounting for all money raised and all expenses) be maintained by the NAGPS Treasurer with the assistance of a designee at the host site.
  • At the conclusion of the conference, any extra funds in excess of all conference expenses will be divided 50/50 between the host organization and NAGPS.
